How do we collect information from you?

We obtain information about you when you contact us about loan products and services via our office or our agent on a home visit to discuss a loan application with you, or you make a loan application via our website.

What type of information is collected from you?

The personal information we collect will include basic and special category information about you (sensitive personal data). This may include such information as Name, Address, Date of Birth, Telephone no, Email, NI No, Marital, Employment and Residency status, Financial background information, Bank/Building society details, Mortgage, Tenancy, Benefit, HMRC, Driving Licence and Passport information. Information supplied to Agent

Personal information will be supplied to our agent either verbally or by sight of documents required for verification purposes. This information will be documented on our application/loan form (s) and is only used for the purpose of suppling loan products requested by you. You are required to confirm this information is accurately recorded at each time of application.

Data supplied will be retained for a minimum of 6 years which after this time it will be destroyed if it is no longer required for the lawful purpose(s) for which it was obtained.

If you choose to correspond with us through email, we may retain the content of your email messages together with your email address and our responses. We provide the same protections for these electronic communications that we employ in the maintenance of information received by other channels and will be destroyed if it is no longer required for the purpose(s) for which it was obtained.

To process the application or enquiry you have made we may conduct a search via at a Credit Reference Agency (CRA) on you and any other named Person (s) on the application or enquiry. In most cases when credit reference agencies receive a search they will place a search “footprint” on your credit file whether or not the application proceeds. We will search at credit reference and fraud prevention agencies for information on all named Person (s) on the application or enquiry and their financial associates’; We use the information provided to us by credit reference and fraud prevention agencies to help make credit or credit related decisions, to verify identity, for the prevention and detection of fraud and/or money laundering, and to manage accounts.

The information which we and other organisations provide to the credit reference and fraud prevention agencies may be supplied by credit reference agencies to other organisations and used by them to perform similar checks.  We may also be required under statutory regulation to share data with associated regulators such as the Financial Conduct Authority, the Financial Ombudsman Service or the Information Commissioners Office. We may also disclose personal information about you to the extent required by Law, Court Order, by Government order or decree. Except as described above, we will not disclose your personal information to Third Parties, without your consent.

Steps will be taken to ensure that the information is accurate and kept up to date and not kept for longer than is necessary. Subject Access Request

You have the right to ask for a copy of the information that Ealing Trading Company (Finance) Ltd  hold about you free of charge. However, we are entitled to charge a ‘reasonable fee’ if a request is manifestly unfounded or excessive, particularly if it is repetitive. Any fee will be based on the administrative cost of providing the information. Information requested will be provided without delay and at the latest within one month of receipt.
